PAIA Manual

This is YardHub's manual under section 51 of the Promotion of Access to Information Act, 2000 ("PAIA"), explaining what records we hold and how to request access to them.

1. Introduction

Section 51 of PAIA requires every private body to make a manual available, describing the records it holds and how a requester can exercise their right of access to those records. This manual serves that purpose for YardHub (Pty) Ltd.

3. The Guide on how to use PAIA

The South African Human Rights Commission (SAHRC) publishes a guide on how to exercise the rights given by PAIA, as required by section 10 of the Act. It is available from the SAHRC at sahrc.org.za, or by contacting the Commission directly.

4. Records available without a formal request

Some records are already published and do not require a PAIA request, including this manual, our Privacy Policy, our Terms of Service, our Cookie Notice, and general marketing and product information on this website.

5. Categories of records held

Subject to any applicable grounds for refusal under PAIA, YardHub holds records in the following categories:

  • Corporate and statutory records (company registration, governance documents).
  • Financial and accounting records (invoices, billing, payment records).
  • Customer and prospect records (contact details, pilot and demo requests, support correspondence, and the operational records a yard creates in the YardHub application - horse profiles, health records, tasks, documents and billing entries).
  • Marketing and website records (enquiry form submissions, aggregate website analytics - see our Cookie Notice).
  • IT, security and access records (system logs needed to operate and secure the service).
  • Legal and compliance records.
  • Personnel and contractor records, where applicable.

Personal information within these records is processed in line with our Privacy Policy and POPIA.

6. How to request access to a record

To request access to a record, submit a written request to our Information Officer using the prescribed PAIA request form (Form 2), including:

  • Sufficient detail to identify the record requested and the requester.
  • The form of access required (for example, a copy or inspection).
  • An address or email where we can respond to you.

Send requests to info@yardhub.co.za, marked for the attention of the Information Officer. We will respond within the timeframe prescribed by PAIA (ordinarily 30 days), and may charge the request and access fees prescribed under PAIA's regulations. A request may be refused on grounds permitted by PAIA (for example, to protect the personal information or legitimate commercial interests of others); where we refuse a request, we will give reasons.

This manual is published on this website and is also available on request, at no charge, by emailing info@yardhub.co.za.

8. Updates

We will update this manual as our record-holding or contact details change, and post the revised version here with a new date.
