Privacy Policy

Plain English first: we collect only what we need to run YardHub for you, we protect it carefully, and we never sell it. The detail follows.

1. Who we are

YardHub provides cloud-based yard and stable management software for equestrian businesses in South Africa. For the personal information you give us through this website, we are the responsible party under the Protection of Personal Information Act, 2013 (POPIA). For the records you and your team create inside the YardHub application, we act as an operator, processing that information on your yard's behalf.

2. What we collect

Through this website

  • Contact details you submit when requesting a demo, starting a trial or contacting us (name, email, phone, yard name).
  • Basic technical information needed to serve the site securely (IP address, browser type). This website does not use advertising trackers.

Through the application

  • Account details for you and the users you invite (name, email, role).
  • The operational records your yard creates: horse profiles, health records, tasks, feeding information, documents, photos, messages and billing entries.

3. How we use it

  • To provide, secure and improve the YardHub service.
  • To respond to your enquiries and arrange demos you request.
  • To send service messages (for example, reminders you have configured, or notice of changes to the service).
  • To send occasional product updates, but only if you opt in, and you can unsubscribe at any time.

We do not sell personal information. We do not share your yard's records with anyone except the people you have invited to your own account.

4. Lawful processing

We process personal information in accordance with POPIA: to perform our contract with you, to pursue our legitimate interests in operating and improving the service, to comply with our legal obligations, and, in the case of marketing, with your consent.

5. Storage and security

Personal information is encrypted in transit and at rest, hosted with reputable cloud providers, and backed up continuously. Some of our cloud providers store information outside South Africa; where information is transferred across borders, we ensure it receives protection consistent with section 72 of POPIA. Access within YardHub is controlled by the roles and permissions your yard administrator sets. Access within our team is restricted to what is necessary to support you.

6. Retention

We keep your data while your account is active. If you cancel, we retain your data for 60 days so you can export it or change your mind, then delete it from live systems. Trial accounts that are never activated are deleted after 60 days.

7. Your rights

Under POPIA you can access, correct, export or delete your personal information at any time. You can also object to certain processing, and you have the right to lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za. To exercise any right, email info@yardhub.co.za.

8. Cookies

This website uses only essential cookies (for example, to remember a signed-in session if you use the application). It sets no advertising or cross-site tracking cookies, which is why you don't see a cookie banner.

9. Changes

If we make material changes to this policy we will notify account holders by email and post the updated version here with a new date.
